How organizer subscriptions work on Mythic Gathering — cancellation, renewal transparency emails, access through your billing period, non-payment lapse, and refunds.

Monthly and annual host plans billed by Mythic Gaming LLC — not event ticket sales.

Listing allowances

Play Group includes a published-event allowance each billing period. League and above are unlimited. Details are in the policy below.

Cancel limits

Play Group has a per-period cap on cancelling published Events. League and above have no platform cancellation cap.

Cancel anytime

Turn off renewal whenever you want. Paid access continues through the end of your current billing period.

Renewal emails

All paid subscribers get confirmation, pre-renewal reminders, renewal receipts, annual summaries, and payment-failure notices by email.

Non-payment

If a subscription lapses, we email your account and apply a published timeline — private listings, registration pauses, and day-30 cleanup for empty future events.

Event admission

Ticket and league fees between players and hosts are separate. Contact the event host for admission refunds.

Refund policy

Subscription fees are generally non-refundable. Exceptions may apply where required by law or for verified billing errors.

This policy covers SaaS subscriptions and platform fees you pay to Mythic Gaming LLC. It does not govern event admission, league fees, or other payments between players and event hosts.

1. Overview

This Subscription & Billing Policy explains how Mythic Gaming LLC (“Mythic,” “we,” “us”) handles organizer subscriptions for Mythic Gathering — including cancellation, access after cancellation, and refunds.

This policy applies to SaaS subscriptions and related platform fees you pay to Mythic Gaming LLC. It does not govern event admission, league fees, or other payments between players and event hosts.

2. Event admission refunds (hosts)

Mythic Gaming LLC does not sell event tickets or process event admission refunds on behalf of hosts.

If you paid to attend an event, any refund, credit, or dispute about admission is between you and the event host — not Mythic Gaming LLC. Contact the host listed on the event for refund questions.

3. Auto-renewing subscriptions

Paid organizer plans renew automatically each billing period (monthly or annual, as selected) until you cancel. You authorize Mythic Gaming LLC to charge the payment method on file for each renewal.

You can cancel renewal at any time from your organizer account or by contacting support. Cancelling stops future charges; it does not retroactively refund the current period.

Renewal transparency (all paid subscribers)

Every paid organizer subscription — regardless of where you live — receives the same billing transparency emails to the address on your Mythic Gathering account:

  • Confirmation when your plan activates, including auto-renewal terms and how to cancel.
  • A reminder before each renewal charge (about 7 days before monthly renewals and about 30 days before annual renewals).
  • Confirmation when a renewal payment succeeds.
  • An annual auto-renewal summary (plan, price, frequency, and cancellation instructions).
  • Notice if payment fails, plus lapse notices if access ends for non-payment (see section 6).

Stripe may also send its own payment receipts. Cancel online from Community HQ → Plan & subscription, or chat with support from the Support menu.

California & New York

Because we market organizer subscriptions to residents of California and New York, the following also applies:

  • Before checkout, you must separately agree that your plan will automatically renew at the price and interval shown until you cancel.
  • We retain a record of that consent for at least three (3) years, or one (1) year after cancellation, whichever is longer.
  • California’s annual auto-renewal reminder is satisfied by the annual summary email above (not a separate notice before every monthly charge).
  • Annual plans: the upcoming-renewal notice is sent about 30 days before each renewal (within the 15–45 day window required for longer-term renewals).

United States

Organizer subscriptions are marketed primarily to users in the United States. Billing transparency emails described above apply to all paid subscribers regardless of state of residence.

Disputes with Mythic Gaming LLC about subscriptions are handled under the dispute resolution section of our Terms of Service (/terms), including informal notice to legal@mythicgamingllc.com before arbitration where applicable.

4. Cancellation & access through period end

When you cancel a subscription, your plan remains active through the end of the current paid billing period — similar to how Apple App Store subscriptions work after you turn off auto-renewal.

  • You keep organizer features you already paid for until the period expires.
  • Your community or events profile and any hosted events you have published remain available until the subscription period ends.
  • No further renewal charges are made after cancellation is confirmed.
  • When the period ends without renewal, see section 6 (Non-payment & subscription lapse) for how access changes.

5. Event listing limits

Recurring organizer plans include a monthly Event listing allowance on Play Group. League, Mythic League, Guild, and Mythic Guild have unlimited published Event listings each billing period.

An Event listing is one published event page with its own registration flow — not each player who registers.

Each published Event counts against the billing period that contains its scheduled start date and time (startsAt), not the date you created or saved the draft. If you schedule eight weekly league events and four fall in your current billing period and four in the next, each period is charged separately.

  • Play Group: 4 published Events per billing period (optional Event add-ons increase the cap).
  • League and above: unlimited published Events per billing period.
  • Mythic Guild: unlimited per-Event attendance — you set capacity per listing; fair-use terms apply (see Terms of Service).
  • Draft events do not count until published.
  • Rescheduling a published Event (changing its start time while it stays published) does not consume an extra listing.
  • Your Community HQ shows how many listings you have used this billing period and when your allowance resets.
  • Optional Event add-ons increase the per-period cap on Play Group.

6. Play Group cancellation cap

Play Group organizers may cancel up to 8 published Events per billing period. League and above have no platform cancellation cap.

  • Only published Events you cancel (phase → cancelled) count toward the cap — deleting a draft does not count.
  • The cap uses the same billing window as Event listing quota (scheduled startsAt date).
  • Community HQ shows used / 8 when you are on Play Group.
  • Special Event workspace listings follow separate product rules.

7. Non-payment & subscription lapse

This section applies when your organizer subscription ends because payment fails and is not recovered, a billing period expires without renewal, or your account otherwise loses active organizer access — including when a connected payment method is declined at renewal. It does not replace section 4 when you voluntarily cancel and retain access through the current paid period.

When a lapse occurs, we email the address on your Mythic Gathering account with a summary of access changes and how to renew.

Day 0 — lapse begins

  • Public community, league, and event listings become private until you subscribe again.
  • Paid online event registration is unavailable immediately.
  • Free and pay-at-door events may continue to accept online registration for up to ten (10) days after lapse.
  • Event check-in and advance scheduling of new main-event occurrences are unavailable until renewal.
  • Players already registered for an event keep access to that event’s page until they unregister.

Day 10 — registration grace ends

All online registration for your events is paused until your subscription is active again.

Day 30 — empty future events

Future dated events with zero registrants may be removed automatically. Events with registrants and past events are not removed under this rule.

Renewal

When you renew or otherwise restore active organizer access, public listings we changed at lapse are restored from our lapse snapshot where possible. Subscription fees for time while lapsed are not refunded — see section 9.

8. Data retention after cancellation

When a subscription ends — whether you cancel renewal, delete your profile, or simply do not renew — we handle organizer and event-related data as follows:

  • Community or events profile information and hosted event details are stored for 30 days after cancellation ends your paid access. This window supports export, dispute resolution, reactivation, and orderly takedown.
  • Certain user data — including email address and other identifiers used by the system and event hosts for event history, registration records, and marketing — may be stored longer while reasonably needed to operate Mythic Gathering, support hosts and players, comply with law, or meet legitimate business needs.
  • Event history (for example standings, attendance, and host-side records) may be retained for up to three (3) years. Three years is our current maximum retention period for event history; we may shorten or adjust these periods in the future based on database usage, cost, and business planning.

9. Refunds for subscriptions

Subscription fees are generally non-refundable. We do not provide prorated or partial refunds when you cancel partway through a billing period — you retain access for the time already paid.

If your subscription lapses for non-payment or failed renewal (section 6), fees for the lapsed period are not refunded. Renewing restores organizer access going forward; it does not credit prior unpaid time.

Exceptions may apply where required by law or at our sole discretion (for example, duplicate charges or verified billing errors). Contact Chat with support from the Support menu with your account email and charge details.

One-time Special Event workspace purchases, when offered, follow the terms shown at checkout. Unless stated otherwise at purchase, those fees are also non-refundable once the workspace is provisioned.

Suspension — no refund for restricted time

If Mythic Gaming LLC suspends your account, you are not entitled to a refund, billing credit, or proration for any part of a billing period during which organizer features or sign-in were restricted. Any subscription that remains active in our billing system may continue to renew according to your plan unless you cancel or we terminate the account.

Termination for abuse — no refund

If your account is terminated for abuse, fraud, or violations of our Terms of Service, Community Standards, or other Mythic Gaming LLC policies, no refund will be issued for unused subscription time, fees already paid, or add-on purchases — except where required by applicable law. Termination for policy reasons is not treated as a voluntary cancellation with access through period end.

10. Deleting your profile

If you delete your Mythic Gathering player profile, any organizer subscription linked to that account will be scheduled to cancel at the end of the current billing period. You will not receive a refund for the unused portion of the period, but paid access — including your events profile and hosted events — continues until the period ends.

Accounts that manage a community profile may need to transfer or close host responsibilities before deletion. Event registrations you hold as a player are cancelled when you delete your profile; contact event hosts separately about admission refunds. Some data may continue to be retained as described in section 7 and our Privacy Policy.

11. How to cancel

  • Organizers: Host manage area → Organizer plan → Cancel subscription.
  • Players deleting a profile: Account settings → Delete profile (see section 9).
  • Email: Chat with support from the Support menu from the address on your account.

12. Changes & contact

We may update this policy from time to time. The effective date at the top of this page will change when we do. Continued use of paid features after an update constitutes acceptance of the revised policy where permitted by law.
