These guidelines apply to organizers who receive player data through Mythic Gathering or connect social accounts for event promotion.

1. Overview
Mythic Gathering is software operated by Mythic Gaming LLC. When you organize events, you receive information about registrants to operate those events. This page explains how you may use that information and your responsibilities when connecting social platforms.
For event admission payments, you — not Mythic Gaming LLC — are the seller and merchant of record when host online payment is enabled. Mythic does not sell event tickets on your behalf.
2. Registrant & player data
You may use registrant information only to:
- Operate, schedule, and communicate about your events and leagues
- Check in players, manage capacity, waitlists, and standings
- Process refunds or admission questions for events you host
- Send event-related messages when the player has opted in to host marketing
You must not sell, rent, or share registrant lists with unrelated third parties, data brokers, or advertisers. Do not use Mythic exports for bulk unsolicited marketing.
Players control whether hosts may use their contact information for marketing. Respect opt-outs shown in Mythic tools and honor unsubscribe requests promptly.
If you invite managers or judges to your community, they may access registrant and event information allowed by their role (for example, check-in, waitlists, or day-of operations). Grant access only to people you trust, and ensure they follow these guidelines. You remain responsible for how your team uses Mythic data.
3. Marketing & CAN-SPAM
If you email players about your events or community, identify yourself as the sender, include a valid reply path, and provide a clear way to opt out of future marketing. Do not use deceptive subject lines or hide commercial intent.
Mythic Gaming LLC sends its own service and billing emails (verification, renewals, lapse notices). Those are separate from messages you send as a host.
4. Discord, Meta & other platforms
When you connect Discord, Facebook, Instagram, or other services through Mythic tools, you must comply with those platforms’ terms and policies in addition to ours.
- Post only about your own events and community — no spam or unsolicited mass messaging
- Do not scrape or export platform data for unrelated purposes
- You are responsible for moderation and safety on servers and groups you operate
- AI-generated marketing drafts must be reviewed by you before publishing; you are responsible for published content
- Do not imply Mythic Gaming LLC endorses or moderates your Discord server or social pages unless we say so in writing
Mythic may revoke bot or publishing access if we receive abuse reports or detect policy violations.
6. Venue displays & on-site visibility
Venue displays show live pairings, standings, timers, judge-call status, and player display names (including Life Counter card styling when synced) to people physically present at your event. Only open displays where attendees can reasonably see them, and close them when the event ends.
Do not use venue displays to shame, harass, or expose private contact information. Display content is intended for event operations, not marketing to passersby unrelated to your event.
7. Your role vs Mythic’s role
For registrant lists you download or view in host tools, you are generally the organizer deciding how to use that data for your events. Mythic Gaming LLC operates the platform and processes data as described in our Privacy Policy (/privacy).
